ABOUT US

Healthdata is a partnership organisation, comprised of partner and member organizations. The ethos of Healthdata is the pooling of information and resources, and the provision of a simple practical web-based tool for the exchange of information and knowledge.

Healthdata content and administration is undertaken by an Administrator, who operates with the consent, direction and support of the participating organizations. Information submitted is accessible directly through the Healthdata website or through the websites of participating organisations.

Healthdata has eleven participating organizations and it is anticipated that it will expand to incorporate other related organisations through out the island of Ireland.

GOVERNENCE PROTOCOL

  • Healthdata is a collaborative enterprise of health-related organisations across the island of Ireland (see Healthdata Organisations).
  • Each participating organization is responsible for moderating and approving any data submitted to its section of Healthdata (see Moderator Policy).
  • To submit data, a user must have or have access to a work email address that is connected to an approved organization on the island of Ireland (see Registration).
  • Once registered, data submitted and displayed on Healthdata remains the responsibility and property of the submitting users.
  • The Administrator must give the final approval on all data content and displayed on Healthdata.

User Registration

  1. Users must belong to an identifiable organisation within Ireland and Users register with Healthdata by entering their details on the registration area.
  2. The user receives an email with a unique identifier and web-link.
  3. The user selects the link and enters the unique code as requested
  4. Registration is complete
  5. Administrator checks the authenticity of the user (organisation and email address indicators)
    1. If the Organisation is not already listed in Healthdata, the user will be requested to complete an "organisation registration form" online.
    2. The administrator approves the organisation (if all is in order)

Data Submission

  1. Users can select to submit to one or more Healthdata Organisations
  2. Data can be submitted at any stage from planning to completion.
  3. Users are requested to self rate the quality level of the data submitted ie project activities to academic research via an applied scale (see Self Rating Scale).
  4. The online submission form is completed as required
  5. Following completion, the user is sent an automatic confirmation email of submission and notification that data is being reviewed.
  6. Review and approval process takes a maximum of 4 weeks and must be completed before data is viewable via the search facility.
  7. Responsibility for the updating data and contact details remains with the submitting users

Review and approval

  1. Healthdata Organisation (s) receives an email indicating a submission requires review, amendment, approval or rejection.
  2. Healthdata Organisation (s) have 1 month to undertake the review and approve the submission, according to the specific moderator policy requirements.
    • If the submission requires further adjustments or more detail, relevant Healthdata Organisations(s) will communicate directly with the user indicating the required edits.
  3. The Administrator reviews submission approved by Partners and makes a final judgement prior to approval for launch into the live database
    • Where the administrator finds that submissions do not have sufficient detail, he/she contact the Healthdata Organisation (s) directly and requests that step 2 be repeated.

Information Management

  1. Administrator has responsibility for dealing with all general queries, difficulties and complaints and defers to relevant Healthdata Organisations as appropriate.
  2. Administrator oversees the smooth running of all aspects of Healthdata - organization/user approvals, submissions approvals and ensures the creditability and updating of all Healthdata content.
  3. Healthdata Organisation (s) are responsible for reviewing and overseeing the updating of data submitted by users to their section of Healthdata
  4. Users are required to reference all information obtained from Healthdata in the appropriate manner (see Citing of Data)
  5. Users are responsible for updating all submitted data
    • To facilitate this process an automatic prompt email is sent to users on a regular basis
    • Failure to update data as request may result in the data being archived or deleted
